Posted: 20 August 2024 # Tradie Charge Out Rate Calculator: ABSOLUTE GOLD! #### Accountants Minute 379 Last week, **ESS BIZTOOLS** presented a [webinar](https://youtu.be/Jk68jwwTxf8) featuring **Amanda Gascoigne**, Accounting Industry Mentor and Coach. Amanda indicated that there are significant opportunities to assist these business operators to improve their businesses by proactively advising them on the calculation of charge out rates, which are linked to individual team member’s productivity, ultimately assisting the business to achieve their targeted profit. Amanda summed up her view of the **Tradie Charge Out Rate Calculator** to this comment: ***“I love the ESS BIZTOOLS Tradie Charge Out Rate Calculator!”*** The **[commentary](https://www.youtube.com/watch?v=S6vDul7JItE)** on the **Tradie Charge Out Rate Calculator** related to ensuring that tradies had created charge out rates that applied to the dynamics of their business, in terms of individual team member productivity, wages and salaries been paid, working hours, individual productivity percentage, overhead expenses, markup on external purchases for clients. This is the type of analysis that SMEs need to undertake or have appointed advisors to prepare for them. **Paul Robson, CEO of MYOB**, was envisaging this in [his commentary in the Financial Review article in February](https://www.afr.com/work-and-careers/leaders/deadset-nightmare-why-small-business-failures-are-soaring-20240205-p5f2i4). #### The key issues identified in an analysis on Fiscal Management The current challenges affecting SMEs including high interest rates and inflation. Fiscal Management Skills not evident, including lack of understanding of suppliers’ payment terms, lack of familiarity with credit terms, in appropriate systems for control of debtors, not planning for payments to ATO – all of which were outlined in Paul Robson’s article. **Australian Small Business and Family Enterprise Ombudsman Bruce Billson** has released the [**‘Small Business Pulse’**](http://www.essbiztools.com.au/uploads/ASBFEO%20Small%20Business%20Pulse_August%202024_1.pdf). The report indicated that small business conditions have deteriorated 3.5% in the last 12 months, and that the business operating environment has been in decline for the past two years. These tough conditions are affecting optimism with fewer people considering starting a business. Bruce Billson also indicated that the *“Tax office is in hot pursuit of tax debt”*, which is also causing considerable problems to many small business operators. ![am379billson](https://www.essbiztools.com.au/images/zoo/blogs/2024/am379billson.jpg)Billson’s report also indicated that economic activity generated by small business is currently 33% of GDP, whereas it was 40% of GDP in 2006. Small businesses currently provide jobs for 42% of the private sector workforce. In isolation, this looks pretty good. However, the figure was 53% back in 2006. The outlook for accountants and bookkeepers will also be affected by the processes that the **former ATO Commissioner Chris Jordan** warned accountants about in 2022: *“You must understand that if your business model is high-volume, low margin, simple tax returns, your business will not be viable in 3–5 years’ time.”* We are now one to three years’ away from this prediction! All of these items are highlighting that SMEs have some problems with the shrinking SME market. Make no mistake, this also affects accountants and bookkeepers. SMEs need support from accountants throughout the year, not just at the end of the financial year. Following on the comments made by Paul Robson, it is essential that people proposing to go into business need a full accounting report before they make any commitment to sign contracts or leases which would include: Subject the financial forecasts to real-time situations – what will the suppliers’ terms of trade be? Has contact been made with suppliers to ascertain their payment terms for a new customer? SMEs need advice on offering credit terms to customers. People proposing to go into small business should be warned that Australia has the highest debtors’ days outstanding in the world. Therefore, there is not much chance that they will be able to operate their debtors’ ledger on a 30-day payment basis. There are many SMEs who are keen to grow and expand their business. However, they will need full accounting services built around the **‘52-Week of the Year Business Enhancement System’** if they are going to survive. #### What do businesses need? **Business plan:** Not out of a textbook, but drafted to reflect the unique circumstances of this business. **![am379tradies](https://www.essbiztools.com.au/images/zoo/blogs/2024/am379tradies.jpg)Predictive accounting reports:** budgets – cash flow forecast – key indicators – projected balance sheet all based on the business plan. **Due diligence review** on the business operations to give the accountant **‘an inch wide and a mile deep’** understanding of the business. This is a lot more than what is normally required to prepare an annual set of accounts and a tax return. If you are supplying these services which the market needs, you need to know a lot more about your client’s business operations. **Daily reports:** Not necessarily prepared by the accounting firm, but to be designed and then someone in the client’s organisation trained on the preparation of the daily report. **Weekly performance/profitability report:** This is crucial to assist the SME to survive in business. The benefit of the weekly report – which is prepared by many larger corporations – is to ensure that if something went wrong last week, the issue can be identified immediately so that the problem can be fixed in a timely manner, rather than in 12 to 15 months’ time. Unfortunately, this is the reality for many SMEs, that by the time the problem is identified, it will be too late. **Monthly financial accounts and KPIs** for each business operation, with an evaluation report comparing actual performance against budget – where were the variations – what caused them?
