C. What is a zip file and why are you using them?

Zip files are "archives" used for distributing and storing files. Zip files contain one or more documents. Usually the files "archived" in a Zip are compressed to save space. Zip files make it easy to group files and make transporting and copying these files faster.

Two benefits of using archives for electronic file distribution are that only one file transfer operation ("download") is required to obtain all related files and file transfer time is minimized because the files in an archive are compressed.
To unzip the files you will need a copy of WinZip. Many computers already have this installed, but if you don't you can download an evaluation copy from http://www.winzip.com/download.htm.

D. What is included in a zip file?

For each product in ESS BIZTOOLS we have created a zipped file with all the associated information included.

E. How do I unzip the files and where do I store them?

To unzip the zip files once you have downloaded them you will need to install WinZip, which can be found at http://www.winzip.com/download.htm

To extract the files inside, just double click on the zip document and the WinZip program will take you through the steps you need to take.

It's important to store all the zipped files and the extracted documents in directories on your hard drive where you will be able to retrieve them easily. Exactly how you do this is up to you, but you may want to have a separate directory for ESS BIZTOOLS on your hard drive.

F How do I unzip the zip files and where do I store them?

Click on the “Download” link at the bottom of the web page. You will be asked if you want to open the zip file or save it to disk. Choose the save to disk option and select the directory on your hard drive where you want the zip file to be stored.

G. What naming conventions have you used for the files?

We have to use a numerical naming system for all the files in ESS BIZTOOLS as it would be too confusing to try and use their titles alone.   The naming convention may take you a little time to get used too but will be quicker and easier to deal with as you go on.  Basically the following applies:

  • CBDxxxx = Client Business Development
  • CNxxx = Client Newsletters
  • CSxxxx = Client Seminars
  • Papers are given a numeric code being the Section Code and Paper Code e.g. Paper 001-001 is Paper 001 in Section 001.
  • Each Paper has a corresponding PowerPoint Slide which we have called a Slide and uses the same numeric code convention as their counterpart paper e.g. Slide 001-001 is the PowerPoint Presentation for Paper 001 in Section 001.
  • Forms have a code that relates them to their relevant paper e.g. Form 001-001a is Form/Addendum ‘A’ attached to Paper 001 in Section 001.
