Implementing Systemisation - Session 4 “Your Client Should Be Included in the Planning Process”

“Too many accountants do not involve their client in the planning process which commences with the Business Plan and proceeds through to the Predictive Accounting Reports of Budgets, Cash Flow Forecasts and Projected Balance Sheets without effective communication with the client.”  Paul Barnaby, Regional Integration Consultant Asia-Pacific for Plan Guru and CEO of Beyond Accounting Technologies.

“Predictive Accounting is documenting for future accounting periods what we have been doing in the historical accounting process, but software tools are now available to enable the preparation of “3 in 1 financial forecasts” which enable the future financial position of the business to be clearly documented.”  Paul Barnaby.

The planning process should be part of the accounting firm’s systemisation to ensure that the process is performed within system guidelines which encourages the client to be involved throughout the process.

The business planning process should commence with a “Planning Think Tank” with the leadership team to analyse every operation within the business identifying strengths, weaknesses, opportunities and threats.  The leadership team should be identifying the strategies that they would like to implement.  The accountant’s role is to document the conclusions from these discussions so that the strategies can be incorporated within the Business Plan and ultimately within the Predictive Accounting Reports.

Budgets and Cash Flow Forecasts should be the “financial reflection” of the decisions that have been incorporated within the Business Plan.  Unfortunately, sometimes these documents have been prepared by different people and they do not “link”.

Being involved in the planning process is a wonderful opportunity for an accountant to gain an in-depth knowledge of how the client’s business operates.  It is a privilege to have been invited to document the decisions that have been made into the Business Plan and ultimately reflect those Business Plan decisions in financial terminology within the:

  • Key drivers relating to the financial deliberations;
  • Budgets which should be prepared for each individual business unit;
  • Cash Flow Forecasts which will identify whether the business is going to encounter any funding issues so that remedial action can be taken;
  • Projected Balance Sheets which will give the leadership team a “financial picture” of what the business is going to look like in the future.
